Antimodular Research, the Montreal-based studio of artist Rafael Lozano-Hemmer, seeks to hire an experienced Personal Assistant to help with the artist’s duties.
- Location: Montreal (Quebec, Canada) with some international travel.

- Salary: Based on experience and qualifications. Starting annual salary range guidance: $55,000 – $65,000.
- Languages: English and French with native proficiency. Please do not apply for this job if you cannot read, write, and speak impeccable English and French. Spanish is an important asset and the candidate should be open to study the language if necessary.
- Relocation: Candidate should already be a citizen or a permanent resident of Canada. Strong preference for candidates who already live in Montreal.
Responsibilities:
Under the direction and responsibility of Rafael Lozano-Hemmer, in coordination with the Head of Exhibitions and Head of Operations, the Personal Assistant will be responsible for (but not limited to):
- Organizing an ever-changing business and social calendar and complex schedule;
- Management and supervision of the artist’s daily and long-term tasks;
- General office administrative support, including fielding heavy phone call and email volume; drafting correspondence on behalf of the artist;
- Professional correspondence and coordination with numerous project offers, collectors, museums and the artist’s galleries;
- Coordinating with both Antimodular staff and artist’s extended network;
- Coordinating with the studio employees through the transmission and sharing of information and documents;
- Close collaboration and assistance with the Heads and managers of other studio departments i.e. Operations, Exhibitions & Collections, Productions, and Research & Development;
- Update art and contacts database; Filing and retrieving documents; Data-entry;
- Assisting in preparing artist and staff for meetings, presentations, and special events;
- Coordinating business and personal travel; booking and managing itineraries;
- Attending and participating in meetings, lectures, art fairs, events, site visits, installations and openings;
- Summarize and distribute meeting proceedings;
- Translate, format, coach and assist Lozano-Hemmer activities in the French language;
- – Run errands, pick-ups; coordinate and attend events; and other special requests as needed.
- Autonomous and collaborative participation in the planning, management and implementation of exhibitions, permanent installations, openings, private viewings, media relations, social events, readings and performances in an interdisciplinary and multi-cultural context.
Requirements:
- Post-secondary education and experience working as an executive assistant (or other relevant administrative support staff) in a busy organization;
- Arts-related experience, for example artists studio, gallery, museum etc, will be strongly favoured;
- Experience in business management and/or employee management also an important asset;
- An undeniable passion for contemporary arts with a will to share your passion with others at all times;
- English and French proficiency, Spanish is a definite asset (candidate must be willing to learn it);
- Strong communication skills, written and verbal;
- Detail-oriented with exceptional organizational skills; ability to organize and prioritize both daily and long term, ever-evolving and even often chaotic, workload; ability to recall names, dates and numbers.
- Self-directed and extremely professional; ability to problem-solve rapidly, manage multiple priorities under pressure and in a fast-paced environment with multiple deadlines;
- Fast and eager learner, versatile with a willingness to participate in various and sometimes unrelated tasks, positive attitude, approachable, diplomatic and adaptable to changing demands and deadlines;
- Ability to work in and with high-energy, high expectation and team-oriented global culture.
- Has professional business travel experience, and is comfortable interacting with people from all cultures. In addition, candidate will be capable to communicate respectfully with people from many different backgrounds, eg. scientists, anarchist punks, wealthy art collectors, critical theorists, politicians, poets, veterans, students, musicians (from Cumbia producers to Classical Conductors), bankers and accountants, union representatives, drivers, architects etc;
- Able to build rapport, trust and excellent working relationships with the artist, all Antimodular colleagues as well as with the artist’s extended network in a multicultural, multinational and inclusive work environment;
- Able to manage confidential information;
- Flexibility with hours and scheduling, including evenings and weekends and often on short notice;
- Willingness and availability to travel internationally, often on short notice and/or for long periods of time;
- Valid driver’s license;
- Excellent computer skills; proficiency in Microsoft Office, Google Docs, Adobe Creative Suite. Candidate will be trained in the Management and Workspace software used at the studio but familiarity with the following will be an advantage: Coda (database), Notion (ERP), Hubspot (CRM), Quickbooks (accounting), Slack (communications), Dry Run (forecasting), online banking.
