The role
The practice coordinator role is spread across the business and the successful candidate will be assisting all studios. Working closely with directors across the practice and senior management, the practice coordinator will be supporting with operational functions.
This key role would suit someone with administrative experience preferably within the architectural or construction industry. The successful applicant shall be able to demonstrate excellent organisational and interpersonal skills and be well presented. Microsoft Office and administration skills are essential.
Responsibilities
We are seeking a dynamic and motivated practice coordinator who can work independently using their own initiative and also collaborate with different teams, ensuring the support functions of the practice is widely covered.
Key responsibilities:
- general office and facilities administration and support for the nationwide studios – centrally based but with regular visits as required to the individual studios in London, Oxford, Birmingham, Manchester and Edinburgh
- ordering and organising materials, stationery and equipment for the regional studios
- answering incoming calls to main practice number
- assisting with maintaining and updating of ADP certifications and records
- assisting with organisation of employee training and CPD
- assisting with arrangements for studio repair and maintenance
- assisting the studios to complete health and safety tasks and processes required by the health and safety policy
- managing ADP’s document archiving and recall process
- assisting with our B Corp certification
- assisting with arrangements for ordering and setting up IT equipment and software and liaising with ADP’s external IT support company if required
- assisting with ‘ADP People’ administrative processes and communications including around onboarding of new employees and arranging employee reviews
- assisting the executive directors with diary management and administration associated with their role – hotel booking etc
- assisting with processes for the certified quality management system and the environmental management Ssystem and contributing to their development and improvement
- supporting and promoting the ADP Vision and principals of the employee ownership trust
- assisting the marketing team with administrative support including events
- assisting architectural teams with ad hoc project management and document control
Requirements:
- graduate or practice management experience desired, but not essential
- strong organisational and communication skills with the ability to manage a diverse workload
- excellent IT skills, with experience of Adobe Creative Cloud and Open Asset desirable
- strong copywriting skills with good attention to detail
The role will be mainly studio-based with some flexibility for ad-hoc home working. The preferred locations for this national role are at our Oxford or Birmingham studio but other locations will be considered. Occasional travel to other studios may be required (London, Birmingham, Oxford, Manchester and Edinburgh).
