Role overview
We are seeking a highly organised, discreet, and proactive Executive Assistant to support the director. You’ll manage her day-to-day schedule, coordinate travel and events, and serve as the key interface between the director, our team, and external partners.
Key responsibilities
Diary and inbox management: Coordinate the director’s full calendar, filter meeting requests, and prioritize correspondence in English and French.
Travel and logistics: Arrange complex international travel itineraries, visas, accommodations, and on-site logistics.
Communications: Draft and proofread emails, presentations, and briefing notes; manage incoming calls and visitor welcome. Manage incoming press & events requests.
Event coordination: Organise client meetings, studio events, and public appearances (talks, exhibitions, awards)
Administrative Support: Handle expense reports, invoice approvals, filing, and office supply ordering
Liaison and research: Act as liaison with clients, consultants, galleries, and institutions; conduct ad hoc research as required
Confidentiality and discretion: Maintain the highest level of confidentiality in all matters.
This role could extend to office management and transversal tasks, to be discussed during the interview.
Required profile:
- three plus years’ of experience as a personal assistant or executive assistant, ideally in architecture, design, or a creative field. The candidate could also be coming from another transversal field (press, gallery work, design etc.) but able to adapt in this new position
- exceptional organisational and time-management skills, with keen attention to detail
- fluent in French and English (oral and written)
- excellent communication and interpersonal skills; professional phone and email etiquette
- strong problem-solver: able to anticipate needs and manage competing priorities
- highly proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfortable learning new tools (e.g., YouTrack, Slack)
- discreet, trustworthy, Empathic and adaptable to a fast-paced, international studio environment
- right to work in France; occasional travels
