Artemest is looking for a sales and project coordinator to join its team in New York City.

Artemest is seeking a sales and project coordinator to join our New York team in a key, client-facing role at the heart of our US growth. Working closely with our account managers, you’ll help win new business, preparing quotes and managing custom requests with our Milan headquarters team, and then see every project through to flawless execution, coordinating closely with the headquarters’ operations team. This role is the connective thread between the client, the account manager, and headquarters, making sure nothing falls through the cracks.

Based in our New York office and gallery, you’ll work closely with the account managers and the vice president of the USA team, with regular contact with headquarters order management, operations and production teams in Milan.
What will be your key responsibilities?
- support account managers in winning new client projects, preparing quotes, proposals and specifications with Milan headquarters
- manage custom and bespoke client requests directly with Milan’s product teams, from feasibility through final specification
- manage inbound project requests in the CRM, following up promptly to convert opportunities into orders
- convert approved quotes into confirmed, accurately documented orders
- serve as clients’ primary point of contact, building the trust and responsiveness that keeps them coming back
- coordinate closely with headquarters’ operations and logistics teams to ensure flawless execution, not by managing post-sale operations directly, but by keeping the client, account manager, and headquarters aligned throughout
- track orders through delivery and installation, flagging and resolving delays with headquarters before they reach the client
- keep CRM and project trackers accurate and current for full visibility across US and Italian teams
- support account managers with client presentations, proposals and meeting prep
- represent Artemest at design events and industry gatherings as a brand ambassador
- look for ways to improve how the New York hub operates as we scale
- coordinate with the Miami and Los Angeles coordinators on multi-region projects for consistent execution
What are we looking for?
- Bachelor’s degree in Interior Design, Business, Architecture, or a related field (or equivalent experience)
- over two years of experience in project coordination, order management or client-facing support, ideally in design, interiors or luxury goods
- an entrepreneurial, roll-up-your-sleeves mindset suited to a fast-growing, fast-changing business
- strong organisational skills and the ability to manage multiple open orders and deadlines at once
- excellent written and verbal communication skills; confidence liaising with clients and international HQ teams
- high attention to detail, particularly around pricing, customisation and order accuracy
- proficiency with CRM and project management tools
- based in New York and able to work on-site at the gallery
- genuine passion for Italian craftsmanship, design and the luxury interiors market
