We are looking to hire an experienced senior delivery lead/architect to act as the primary lead on a high-value residential project, plus proactively project manage another alongside our technical site coordinator.
This hire is to drive and own the overall project programme, to set key milestones, manage the critical path and meet deadlines. The hire is to manage any variations to the contract and consistently flag risks and/or issues.
The candidate must have experience in high-end residential refurbishment projects (ideally five plus years) and be able to troubleshoot design and/or build queries, serving as the key conduit between our design and build team members, plus our third party subcontractors.
This role requires the ability to pull a team together, be proactive in reporting on status, resolving issues and have an excellent attention to detail. Also requires confidence working on fast-paced residential construction sites, with experience in successfully fielding typical day-to-day challenges.
Overarching responsibilities include:
- to be the single person in charge of the project’s delivery
- to map out and drive the critical path, and report against the key milestones set throughout the delivery of the project
- to ensure that any risks and/or issues are identified, flagged, and managed
- to coordinate as required between the office and site teams
- to procure all technical packages (including steels, lintels, posi-joists, external doors and windows, rooflights, etc.)
- to resolve setting out and technical details on site
- to coordinate specialist trades (such as MEP engineers, structural waterproofing, kemper waterproofing, lead workers, scaffolders, joinery fitters, french polishers, etc)
Duties to include, but not be limited to
Integrated programme:
- drive the programme delivery; set the critical path and the key milestones (including client decision deadlines), own it, chase actions, and flag / mitigate delays
- set up and own all required meetings (including weekly, fortnightly and/or monthly on-site progress meetings); includes taking minutes, circulating any required actions and chasing/following up as required
- provide the managing director and contracts manager with a weekly project update in our weekly delivery meetings
Variations:
- flag variations to scope, and provide estimations for the time and materials required (plus encourage our site managers and project architects to do the same)
- record all variations in our master document, with all relevant details to enable pricing of them, and ensure they are priced by the contracts manager or managing director prior to our monthly client applications
- proactively flag when variations need urgent approval from the clients, so as not to delay the construction programme
Site information and labour:
- own the pre-construction mobilisation, such as pre-start meetings with the Project Architect and Contracts Manager, creation of our CPP, RAMS and COSHH (alongside our Site Manager), compilation of the H&S file, agree the site set up and security strategy with our Site Manager, etc.
- issue a full “release of information” schedule at the start of the job, outlining key dates for each piece of information required from the architects, and chase against these
- set weekly targets with our site manager, and ensure they have everything they need (information, labour resource, materials) to complete the construction tasks in the most productive sequence
Technical expertise:
- coordinate the delivery of the architectural design; check what has been proposed and flag any discrepancies or gaps in information
- coordinate the delivery of the structural engineer design (in particular beam size and connections, temporary works design and reinforcement detailing)
- coordinate the delivery of the mechanical, electrical and plumbing design; ensuring there are no gaps in the design brief and details required from the project architect
- sense check levels, datums and build-ups which the project architect has specified, and instruct the site managers accordingly
- conduct surveys for all required technical packages (such as steels, external doors and windows if not included in the third party subcontractor’s scope, rooflights, architectural joinery)
- gather information for all technical packages required for the job early on and agree when items need to be measured and ordered (e.g. steels, bricks, AC, sprinklers, lintels, windows, doors, brick slips, UFH components, finishing materials, paints etc.)
- check the accuracy of fabrication and/ or technical package drawings from the project architect and third party suppliers and subcontractors, and ‘status’ the drawing
- support the site manager and third party subcontractors with setting out (i.e. groundworks, drainage, steels, etc), in liaison with the project architect
- work closely with the site manager to ensure they have all the required details from the project architect and liaise with them daily on any ‘how-to’ questions
- monitor the quality of the works completed on site and flag any concerns to the managing director
- resolving technical issues onsite and over the phone daily
Third party coordination:
- organise the agreed subcontractors, suppliers, technical packages (e.g. windows, doors, architectural joinery), utilities and building control – request, review and sign off on all RAMS and insurance documents prior to bona-fide subcontractors starting on site
- ensure that for utility upgrades, all information is ready and pre-installation actions are complete
- own the subcontractor and third party supplier tracker within our master document
- to reconcile third party subcontractor and supplier invoices prior to submitting to our accounts team for payment (i.e. check works complete on site vs money paid to date and remaining balance payable, plus any variations agreed)
- proactively request invoices from third party subcontractors and suppliers, and upload them to Xero (our accounting software) the week prior to our monthly Client application, and prior to the accounts’ team’s weekly cash flow meetings
Joinery and FF&E coordination:
- to liaise with the project architect to understand the full architectural joinery and cabinetry scope for the project
- to work with the project architect and joinery team on the coordination of the architectural joinery and cabinetry installation schedule and ensure all critical path deadlines for these have been communicated to the contracts manager
- order FF&E once signed off by the architect/clients
- manage delivery according to business needs – supplier to ideally hold larger items such as baths and shower screens, and deliver them straight to site when needed. Rest of the items to be delivered to our office for safe keeping
- ensure all items are quality checked upon delivery, and any queries to be addressed with the supplier in a timely manner
Close out and post-project:
- oversee the finishing stages and close out of the programme – work closely with the Site Manager on the delivery of a three to four month close-out programme, including circulating and chasing individuals on their actions
- pwn the O+M manual and handover process, including a handover meeting with clients in their new home (i.e. client walk-around and “how to” with particular systems such as heating/hot water, towel radiators, AV, etc.)
