Role overview
We are seeking a highly organised and self-driven Customer Service & Client Relations professional to join our team remotely. This role requires a strong sense of ownership, exceptional attention to detail, and a deep understanding of the design, lighting, or gallery environment.
The position is strongly operational and administrative in nature, with a focus on ensuring that all client-related processes are handled with precision and efficiency.
Key responsibilities:
- prepare and manage quotations, order confirmations (OCs), and invoices with a high level of accuracy
- handle and respond to client enquiries (mainla B2B) in a timely and professional manner
- coordinate closely with internal teams to ensure smooth order processing and project follow-up
- maintain clear and structured communication with international clients, galleries, and designers
- ensure all documentation and client records are well-organised and up to date
- proactively manage timelines and follow-ups to ensure a seamless client experience
Profile and requirements:
- minimum three years of experience in a similar role within design, lighting design, collectible design, gallery or art-related environments
- very strong organisational skills and exceptional attention to detail
- highly self-motivated, disciplined, and reliable, with the ability to work independently in a remote setting
- a solid understanding of lighting products and specifications
- excellent written and verbal communication skills in English (native or near-native level required)
- strong sense of ownership and accountability
- ability to manage multiple priorities in a structured and efficient way
- based in the UK or another European country
- a genuine passion for design, architecture, and art, and a sensitivity to KAIA’s aesthetic and values
