Project London is hiring a procurement assistant to join its team in London.
We are an award-winning architectural and project management studio specialising in high-end residential projects. From concept to completion, we deliver exceptional results for discerning clients. With a strong pipeline of upcoming work and turnover up more than 90% year-on-year, we are seeking a highly organised and commercially-minded Junior Procurement Assistant to support the studio at this pivotal time in our growth.
Key responsibilities:
- support the team in sourcing new suppliers for materials, furniture, and design elements
- obtain and compare quotes, ensuring competitive pricing and quality alignment
- form relationships with trade suppliers and negotiate trade discount
- assist in supplier relationship management, handling queries and tracking performance
Order processing and tracking:
- schedule and finalise orders and deliveries of hard and soft finishes for projects
- create and manage purchase orders (POs), ensuring accuracy with project requirements
- track and update the delivery schedule, proactively flagging any potential delays
- liaise with suppliers to ensure all goods are delivered successfully to site
- assist the design team in re-specifying items that are out of stock or on long lead times
Inventory and cost control:
- monitor and maintain inventory records, liaising with the project team on material requirements
- track orders, invoices, receipts, and payments to ensure procurement accuracy
- assist in cost control and budget tracking, identifying discrepancies and reporting them promptly
Site and logistics coordination:
- liaise with sites to confirm deliveries and check for any breakages or missing items
- action returns and track refunds, organising any replacements or additional items
- provide feedback to the design and site teams on lead times and deliveries
Documentation and administration:
- maintain detailed procurement records and documentation
- verify that invoices align with purchase orders before processing for payment
- support with procurement reporting for internal reviews and project meetings
Required qualifications and skills:
- one to three years’ procurement or purchasing experience in a design, architectural, or construction-related industry
- proficiency in Microsoft Office (specifically Excel)
- experience in transport and/or logistics advantageous
- strong negotiation and communication skills
- ability to prioritise tasks
- highly organised with excellent attention to detail
- fluent in both written and spoken English
