Hull Studio is looking for a studio administrator to join its team in London.
This is a full-time office-based position.
Hull Studio is a furniture design studio with the ethos that lies in exploring the relationship between traditional craftsmanship, modern technology and organic design. Our work includes limited edition furniture and one-off art pieces, as well as bespoke private commissions for superyacht and luxury residential sectors, and interior projects.
About the role
The studio administrator will work closely with the directors, ensuring the smooth running of the design practice, acting as the first point of contact for the clients, managing administrative side of the design projects, and liaising with suppliers and subcontractors. The studio administrator will also be responsible for the day-to-day bookkeeping, as well as managing and ensuring business compliance within HR, H&S, insurance areas.
The right candidate must be flexible and proactive at problem-solving, have meticulous attention to detail and excellent organisational and prioritisation skills, as well as the ability to work on multiple projects, seeing each through to completion. In addition, you will have excellent communication skills to manage key relationships with customers, subcontractors and suppliers. Previous bookkeeping experience in UK is a must.

Required skills and qualities:
- previous experience in an administrative, operations, or project support role (ideally within a creative industry)
- UK bookkeeping experience and a solid understanding of UK financial processes and basic compliance (VAT, records, expenses)
- strong working knowledge of accounting software (we use KashFlow)
- Excel proficiency
- highly organised, with excellent prioritisation skills and meticulous attention to detail
- self-driven, proactive, and confident problem-solver with strong initiative
- able to stay calm and effective under pressure, managing multiple workstreams to a consistently high standard
- flexible and collaborative, with the ability to work well within a small team
- excellent verbal and written communication skills
- knowledge of Photoshop and InDesign is an advantage
- genuine interest in the creative sector, luxury market, and high-end design/art
Duties will include, but not be limited to
Studio administration:
- manage the day-to-day smooth running of the design practice and act as first point of contact (answer calls/emails, greet clients, prepare meetings)
- manage post, office supplies and equipment
- manage basic HR admin, insurances, producing H&S documentation/policies to ensure compliance
- keep the office presentable at all time
- liaise with external IT support; keep software licences/subscriptions up to date; manage printers, supplies, and maintenance contracts
- maintain digital filing and folder structure (Dropbox)
- manage the administrative side of design projects, support day-to-day project management tasks
- source products globally, obtain physical samples, manage the samples library, research new materials/suppliers, and develop relationships with existing suppliers
- organise deliveries/collections, courier logistics, and travel arrangements
- provide PA support to directors where necessary
Bookkeeping:
- maintain accurate day-to-day bookkeeping records in accounting software (money in/out, sales invoices, supplier bills, expenses/receipts, allocations)
- run bank reconciliations, including cash account; producing journals
- manage credit control
- prepare and submit VAT returns in accounting software (KashFlow), including management of export VAT
- handle payroll admin inputs (holidays, sickness, expenses, new starters/leavers); liaise with external payroll provider and check outputs prior to submission
- produce a weekly cashflow forecast in Excel
- work with external accountants to prepare finance info and supporting documents for year-end accountants
