Role overview
Aman Interiors is seeking a highly organised and detail-oriented procurement coordinator to support the delivery of luxury hospitality and residential projects.
The role is central to the smooth execution of procurement processes — coordinating documentation, tracking supplier submissions, maintaining cost reports and supporting tender administration. Working closely with the procurement manager, this position ensures operational discipline, accurate reporting and timely communication across suppliers and internal teams.
This is a structured, process-driven role suited to someone who thrives on organisation, accuracy and accountability within a fast-paced, design-led environment.
Key responsibilities
Tender and procurement administration:
- support the preparation and issuance of RFQs and tender documentation
- maintain supplier longlists and track submissions
- log clarifications, revisions and submission deadlines
- assist with compilation of commercial comparison sheets
- ensure tender documentation is complete, accurate and properly filed
- track procurement milestones and highlight approaching deadlines
Supplier and project coordination
- act as day-to-day liaison for routine supplier communications
- track supplier documentation (technical submittals, certifications, lead times)
- monitor progress against procurement schedules
- prepare weekly procurement status updates and summaries
- attend project meetings and capture key actions related to procurement
- follow up on outstanding supplier information and approvals
Documentation and cost tracking:
- maintain procurement trackers, dashboards and cost summaries
- update change logs and decision registers
- ensure contract documents and purchase orders are properly recorded
- support invoice tracking and reconciliation where required
- maintain organised digital filing systems for all project procurement documentation
Profile and experience:
- two to four plus years’ experience in procurement, project coordination or interiors delivery
- exposure to FF&E and OS&E procurement (preferred but not essential)
- strong Excel skills and confidence managing structured data
- highly organised with exceptional attention to detail
- proactive and responsive communicator
- comfortable managing multiple tasks simultaneously
- calm, methodical and process-driven
